How do they work?
Once the childcare voucher scheme is setup and everyone is registered the process is simple from then on. Each month we will send you via email to your chosen address two files.
1. A payroll schedule 2. VAT Invoice
The Payroll Schedule will detail the following points and should be used in conjunction with your payroll administration; · Each employee that we are expecting funds for (A) · The amount to be deducted by employee · The employee’s national insurance number for confirmation
This should be checked prior to running the payroll to ensure no one has left the scheme or joined and is not listed.
The VAT invoice will detail the total voucher amount (A) for all your employees and then show the management charge with resulting VAT amount.
The invoice amount should be paid to ClariCare using bank transfer information on the invoice. Once this is received it will be checked by ClariCare’s administrators and cleared for transfer to the childcare providers.
How to setup a scheme

1. You need to ensure all employees are aware that you are setting up a childcare voucher scheme. We have marketing material to help you with this. 2. Each employee who wants to get involved in the scheme needs to complete an application form. They will need to get sections of the form signed by you (their employer) and their childcare provider. 3. The employees childcare provider will also need to complete a registration form, sending this back to ClariCare along with a copy of their child carers certificate. 4. Once the application forms are completed they need to be sent to ClariCare for processing. 5. Once the forms are with ClariCare a member of the accounts team will be in touch to discuss alignment with your payroll administration. |
